1、English for Business Meetings,商业会议英语,Foreword:,Meetings are an important part of doing business. And if youre in a multinational company, many of those meetings will be conducted in English. Whether youre leading or just attending one, be prepared with these phrases for each stage of a business meet

2、ing:,Highlights,Greeting/OpeningState the PurposeReview Past BusinessIntroducing the Agenda and DiscussionSkills Make People ListenFinishing the Meeting,Greeting/Opening,The structure of a meeting is usually the same, regardless of the language. And meetings always start with a greeting! In English,

3、 youll use the more formal “Good morning“ or “Good afternoon“ rather than “hello.“ Then, if youre leading the meeting, youll need to announce that the meeting is starting. Example: “Good morning. It looks like everyones here, so lets get started.“,State the Purpose,Next, you have to remind everyone

4、what the purpose of the meeting is, what business needs to be addressed. If youre in charge, say: “Were here today to.“ Other phrases you might hear are: “Our goal today is.“ or “Ive called this meeting to.“ Then finish with a brief explanation. Example: “Were here today to discuss last quarters sal

5、es figures.“,Review Past Business,Since meetings often deal with ongoing business, you have to review old information before presenting new. This happens when someone reads the minutes from the previous meeting. Minutes are the official notes from a meeting. Before reading the minutes say, “To begin

6、, lets quickly go over the minutes from our last meeting.“ “Go over“ means to review something and is commonly used in business.,Introducing the Agenda and Discussion,Now its time to discuss new business! Usually, youll follow a list of discussion items called an “agenda.“ The meeting leader will st

7、art by drawing everyones attention to the agenda. Theyll say: “Please look at your copy of the agenda. There are xx items on the list today. Lets start with number xx.“ Then, the key to a successful meeting is keeping it moving forward. When its time to move onto the next topic, say, “Now that weve

8、discussed., lets move on to.“ “Move on“ is commonly used in business settings and means to leave one topic and start another.,Skills Make People Listen,Success in business requires confidence. When youre doing business in a second language, though, its easy to sound uncertain. But dont give up so so

9、on! Even if youre not sure of the words, you can still sound like you know what youre talking about. The trick is in how you start your sentences. Get down to business with the following phrases and see the difference!Lets focus When youre leading a meeting, its crucial that you get everyone focused

10、 immediately. The best way to start is by making a direct statement. “The purpose of this meeting is to decide on the company logo.“ Avoid indirect statements like, “Well, heres the agenda,“ or “Maybe we should get started.“ Youll lose peoples attention immediately.,Skills Make People Listen,Strong

11、words Your boss calls everyone into a meeting to discuss a problem and asks for your suggestions. Frame your response with “I recommend .“ or “In my opinion “ In addition, to come across as authoritative, use “should“ as opposed to “could“ as it is stronger. “In my opinion, we should consider differ

12、ent vendors“ is much stronger than “Maybe we could think about different vendors.“Talk tough When you need to use even stronger language than above, begin with “Im positive that ? or “I really feel that ? Saying, “Im positive that its the vendors fault“ expresses to the listener that you are absolut

13、ely sure. It says, “Im sure, so you should be sure, too!“ A less confident way would be to say, “John in Marketing said it could be the vendors fault. I thought he had a good point.“,Skills Make People Listen,Moving on Business discussions have a way of getting off track. So you need a tactful way t

14、o refocus people. If you sense a discussion is wandering ?whether its in a big meeting or an informal chat between colleagues ?you can say, “Lets move on to the next point.“ This ensures you maintain control of the discussion ?as long as you dont start with “Maybe“ or “Um.“Speak up Sometimes you jus

15、t have to disagree. And its easy to be ignored if you dont express your disagreement effectively. “Im afraid I cant agree with this plan“ is a polite, but clear, way to start. Its much better than, “Well, Im not sure; it doesnt seem like it will work.“,Finishing the Meeting,Finishing a meeting requi

16、res a few phrases: summarizing everything thats been discussed, thanking everyone for coming, and then dismissing the meeting. Its not hard, though! To summarize, start with: “To sum up.“ Example: “To sum up, weve determined the sales figures could be better and discussed solutions.“ Then, thank eve

17、ryone for attending: “Thank you all for attending/coming.“ Let everyone know its okay to leave with, “The meeting is finished.“ Finally, if theres a follow-up meeting say, “Well see everyone next.“,Practice more,In the lobby Good morning /Good afternoon,Welcome to BYD Excuse me,Sir/Madam,May I help
